Where I use Twos

Writing things down and quickly finding things is important for my peace of mind and memory.

That is why Twos is on the bottom bar of my phone.

I’m always jotting things down while I’m on a walk, working on my computer, or moving around the apartment.

Whenever I have something I want to remember, I write it down in Twos.

On my computer, I always have one or more Twos windows or tabs open.

I also use the Chrome extension to save links and videos from the web.

Twos has a desktop app, but I prefer to use the web app.

How I use Twos

I mainly write things down on my day.

Today is where I journal, plan, and take the majority of my notes.

Today is the quickest and easiest place to capture things.

If I need to, I’ll move things off of today to a different list.

If I’m not looking at my day, I am making or viewing a list.

I have lists for everything in my life: books I read, friends, family members, meetings, development projects, blogs, affirmations, goals, etc.

Twos stays organized with its daily lists (days) and lists.

The views in Twos help present the different types of things you’ve written down: to-dos, reminders, lists, tags, etc.

One feature I don’t use very often which may surprise people is tags. I tag books and random things on days, but I don’t use it a lot.

How I organize my days

I typically plan out my day the night before. If I don’t, I’ll reorder things in the morning.

At the top of my day I see events from my Google calendar so I know if I have any meetings. I join my meetings by clicking on the calendar links. I’ll also see friend’s birthdays and other reminders here.

At the top of my day, I organize the things I want to get done.

I have a few daily reminders for things I do at the start and the end of my days. These are my habits.

My habits are daily, weekly, or monthly reminders on to-dos. I check off as I do them each day and they appear unchecked the next time: meditate, read, stretch, reflect, invest money, etc.

After my to-dos, I’ll write thoughts and notes throughout the day. These are things I want to remember in the future.

Lower down on my day, nightly habits and random notes

If I take notes for a meeting, after the meeting I’ll select them all and turn them into a sublist. If the sublist belongs to another list, I’ll organize it as a sublist there, too.

If I get an email or come across things that I know I’ll need on a future day, I’ll add them to the future day. This way, I’ll be able to easily reference directions for events or anything that I’ll need on that day.

At the start of each day, Twos will carry over any of the unfinished to-dos from the day before. But, like I mentioned, I usually plan my day the night before, so I move things over then.

Organizing lists

I don’t put too much thought into how I organize lists.

Some people think they need a well-thought-out structure or hierarchy. I’ve found starting simple and letting it evolve naturally works for me.

I started by creating lists of topics I’m interested in (programming, meditation, dreams, goals, books).

Now I create lists for meetings, blogs, and to organize to-dos.

Whenever I need to organize my thoughts or make a plan, I’ll write things down on my day or I’ll create a new list.

If I realize that I have a lot of lists that relate to one topic (dev, books, blogs, friends, family), I’ll group them into a parent list.

I have parent lists for the books I read each year, personal goals, blogs, conversations I have with people, development projects, and more.

I bookmark the main lists I’m currently using (Dev, current sprint, books I’m reading, week goals, affirmations). I unbookmark a list when I’m done using it (we move on to the next sprint, I finish a book, I publish a blog, I finish a project).

Other than that, I use search to find lists and things. I don’t typically use the home, lists, or calendar views.

I don’t worry about forgetting lists. Lists are resurfaced in many ways: search, review, memories, to-dos, stars, etc.

It’s not perfect, but it doesn’t need to be perfect. I’d rather it be quick and easy and something I do consistently. This way I’ll capture and remember more pieces of my life. I don’t need to stress about remembering everything in my head or overthink how it’s organized.

To remember things, I use stars, to-dos, reminders, memories, and search.

If I write down something important, I’ll star it. I can quickly find my stars across my days and lists in one view.

If it’s something I need to do, I’ll turn it into a to-do. I can quickly find all of my to-dos across all of my days and lists in one view.

If I need a reminder or a recurring reminder, I’ll create a reminder. It’ll show up on the day I need it so I’ll remember it without needing to think about it.

My favorite view is the memories view. It resurfaces days and lists based on time so I remember past experiences and information.

If I ever need to remember random things, I’ll use search.

That’s my Twos setup.

It’s simple and uses Twos’ structure and features to help me stay organized.

It’s not a crazy system that requires a bunch of time and effort whenever you want to capture something new or find something you’re looking for.

It’s quick, easy, and efficient so you can get back to your life and do what you want to do.
